First Aid Policy


To enable the immediate and effective provision of first aid to workers and others who have been injured or become ill at the workplace. First aid treatment can be administered by person(s) designated under this policy as having the responsibility, and equipped with the requisite training, to provide first aid (that is, first aid officers).

To inform all workers and others[see note] of [the Company]’s first aid arrangements and facilities available at its workplace(s).


This policy applies to the [the Company]’s workers and others at its workplace(s).


“First aid” — is the immediate treatment or care given to a person suffering from an injury or illness until more advanced care is provided or the person recovers. [see note]

“Workers” — covers the [the Company]’s employees and contracted workers.


[The Company] is committed to the effective provision of first aid as part of its broader commitment to work health and safety.
As part of this commitment, [the Company] will:

  • provide adequate resources for the supply and replenishment of first aid kit(s);
  • establish a first aid room [remove if not applicable];
  • appoint first aid officer(s) who will report to the [insert name of relevant person] on all matters pertaining to first aid;
  • facilitate relevant training for appointed first aid officer(s); and
  • ensure that there is at least one first aid officer rostered on for all hours of work.

Manager/ Supervisor responsibilities

Managers/ Supervisors are responsible for ensuring that:

  • there is a first aid officer(s) accessible in the workplace;
    workers are informed of the location of the first aid kits and first aid officer contact lists/information;
  • where appropriate, make or facilitate arrangements for an injured person who requires further medical attention off site (eg to a medical centre or a medical practitioner) to be escorted to this site.

Workers responsibilities

Workers are responsible for ensuring that they:

  • report all workplace injuries;
  • do not disrupt the administration of first aid; and
  • comply with this policy, first aid procedure and any associated reasonable instruction.

First aid officer

At any one time, there will be [insert number] [see note] first aid officer(s) appointed by [the Company].
[Note: By way of guidance, First Aid Code recommends for low risk workplaces (eg an office) – one first aid officer for every 50 workers; and for high risk workplaces (eg a construction site) – one first aid officer for every 25 workers.]

[The Company] will only appoint a person as a first aid officer who holds a current accredited first aid training qualification.

The cost of training person(s) approved by [the Company] to become a first aid officer; and reasonable ongoing training of first aid officer(s) (eg refresher training and training associated with re-certification) will be borne by [the Company].

A person appointed as a first aid officer will be paid an allowance in accordance with any applicable award or enterprise agreement.

The responsibilities and duties of a first aid officer include to [amend as appropriate]:

  • hold a current accredited first aid training qualification [see note]
  • maintain the first aid kit(s) and ensure that they are appropriately stocked;
    notify [insert relevant person] at [insert name of organisation] of any deficiencies in the first aid kit(s) so they can be replenished;
  • administer first aid treatment to ill or injured persons as required and within the limits of their first aid competencies;
  • record all treatments and descriptions of injuries or illness by completing an injury
  • report form [amend name of form as necessary];
  • ensure that all injury report forms are forwarded to [insert name of applicable person/business unit] [insert if applicable] in accordance with [insert name of policy/procedure];
  • recognise the limits of their first aid competence, and if appropriate, recommend that the ill or injured person seeks the assistance of a medical practitioner;
  • call an ambulance for serious injuries or illnesses and ensure access for the ambulance;
  • where appropriate and with the approval of a manager/supervisor, implement arrangements for an ill or injured person to be escorted off site to receive medical treatment; and
  • record (and have witnessed) any rejection of first aid / medical assistance by an ill or injured person.

First aid officers are not to administer any medication or medicines that are not to be included in first aid kits, for example cough mixtures, paracetamol, aspirin, or other analgesics.

First aid kit

[A first aid kit] OR [insert number of first aid kits]will be provided and located [insert where kit(s) are to be located at the workplace].

First aid rooms

A first aid room is located at [insert location]. The first aid room will be the primary area in which a first aid officer will administer first aid.

First aid procedure

In the event of a workplace medical emergency (being when a person suffers a serious injury or illness at the workplace) the following procedure applies:

  • Injured worker or another colleague notifies the manager/supervisor of the incident;
  • Manager/supervisor ensures the first aid officer immediately attends to the injured worker;
  • First aid officer administers first aid within their competencies;
  • First aid officer notifies an ambulance if required;
  • Manager/supervisor manages workers in the vicinity of the incident site;
  • First aid officer notifies and coordinates ambulance or other medical assistance if appropriate;
  • First aid officer completes an injury report form [amend name of form as necessary];
  • Where reasonably practicable, a copy of the injury report form [amend name of form as necessary] should be provided to the injured worker for validation and signature;
  • Original copy of report form is to be provided to [insert name of applicable person/business unit] as soon as practicable and within 3 business days.

Record keeping

Accurate recording of attendances and treatment provided by first aid officers are extremely important and should be provided (in the form of injury report forms [amend name of form as necessary]) to [insert name of applicable person/business unit].

All documentation must be accurate and legible and should record the facts as stated by the person treated where possible. Records must be written in ink and never erased. In the event of an error, draw a line through the error and write ‘wrong entry’ and sign it.

Never use white out or correction fluid on records.

All medical records are kept strictly confidential. Medical records can only be accessed and used by those individuals who are required to access and use the information for the purposes of performing their functions as part of their role. Further, medical records may be released if required by law or by consent of the person in question.
